What is a Workspace Page?<\/strong><\/p>\n

A\u00a0Workspace Page<\/strong>\u00a0is a\u00a0Page\u00a0<\/strong>that can be assigned to both Internals & Externals and is designed to be edited by anyone who is assigned and has visibility. In addition to this, each time a user edits the page, they are required to make a comment to describe the nature of their changes. This creates a ‘change log’ for other users to read that helps everyone understand the reasons for the changes.<\/p>\n

IMPORTANT: Workspace is a depreciated feature which is still available in older accounts but does not show in new accounts.\u00a0 This feature can be added to a new account if required.<\/p>\n

Workspace Pages<\/strong>\u00a0can be assigned to one, some, or all Internal Staff or external Contacts in an installation (excluding Leads who are not able to log in).<\/p>\n

You can use\u00a0Workspace Pages\u00a0<\/strong>to collaborate on documents, announcements, or any other text-based content, depending on your needs.<\/p>\n

How to Create a new Workspace Page<\/strong><\/p>\n

To create a new\u00a0Workspace Page<\/strong>, simply navigate to\u00a0Content\u00a0> Workspaces > Add New Page<\/strong>\u00a0from the top menu, or navigate to\u00a0Content > Workspaces > Manage Pages<\/strong>\u00a0and click the + button.<\/p>\n

From there, you will be presented with a form that you can use to create your new\u00a0Workspace Page<\/strong>\u00a0and assign it accordingly.<\/p>\n

Assigning Externals<\/strong><\/p>\n

The first section you’ll see is where you can assign any\u00a0Prospects\u00a0<\/strong>or\u00a0Clients\u00a0<\/strong>to this\u00a0Workspace Page.<\/strong>\u00a0There is a checkbox option that if checked will automatically assign all\u00a0Clients\/Prospects<\/strong>\u00a0that exist in the account, and this will also include any future\u00a0Clients\/Prospects<\/strong>\u00a0that are added to the account.<\/p>\n

ASSIGN USERS<\/em><\/strong><\/p>\n

Use this field to assign desired users to the\u00a0Page<\/strong>. Users who are defined as either\u00a0Clients\u00a0<\/strong>or\u00a0Prospects\u00a0<\/strong>can be assigned to a Page.<\/p>\n

ASSIGN CIRCLES<\/em><\/strong><\/p>\n

Use this field to assign desired\u00a0Circles\u00a0<\/strong>to the\u00a0Page<\/strong>. You can also optionally use the + button next to the field to quickly create a new\u00a0Circle<\/strong>, if you don\u2019t already have one created that you need.<\/p>\n

Assigning Staff<\/strong><\/p>\n

The next choice you’ll see is where you can assign\u00a0Staff\u00a0<\/strong>to this\u00a0Workspace Page<\/strong>. There is a checkbox option that if checked will automatically assign all internal\u00a0Staff\u00a0<\/strong>users that exist in the account, and this will also include any future\u00a0Staff\u00a0<\/strong>members\u00a0<\/strong>that are added to the account.<\/p>\n

Category<\/strong><\/p>\n

Use this field to assign the\u00a0Workspace Page\u00a0<\/strong>to a\u00a0Category \/ Menu Group<\/strong>. You can also optionally use the + button next to the field to quickly create a new\u00a0Category\u00a0<\/strong>if you don\u2019t already have one created that you need. From the user side of things, the assigned\u00a0Category\u00a0<\/strong>will serve as the title for the first level menu navigation tab. Your\u00a0Prospects\/Clients<\/strong>\u00a0and\u00a0Staff\u00a0<\/strong>will see this choice in their navigation under\u00a0Workspaces<\/strong>.<\/p>\n

Title<\/strong><\/p>\n

Use this field to define the main title for the\u00a0Page<\/strong>. This title will appear in several places, such as in the\u00a0Page\u00a0<\/strong>admin table, as well as at the top of the page when any assigned user is viewing the Page.<\/p>\n

Menu Title<\/strong><\/p>\n

Use this field to define the menu title for the\u00a0Page<\/strong>. This is the title that will be used to link the\u00a0Page\u00a0<\/strong>inside the dropdown menu that displays for clients when they click on\u00a0the main Workspaces top menu item. Generally, you will want to keep the\u00a0Menu Title<\/strong>\u00a0short (just a few words), so it will look nice in the menu.<\/p>\n

Content<\/strong><\/p>\n

Use this field to add your initial page content for the Page. Basic text can be entered, or you can copy\/paste more complex content from other sources. Additionally, you have the option to create the page content entirely using HTML, by clicking the \u201c<>\u201d button in the left corner of the editor toolbar.<\/p>\n

When the Page is created and assigned the way you like, just click \u201cSave\u201d to save the new page. Assigned users will be notified via email about the new page, and they will be able to login and view it immediately.<\/p>\n

Viewing & Working in Workspace Pages<\/strong><\/p>\n

After they are created,\u00a0Workspace Pages\u00a0<\/strong>should be accessed from the menu in order to collaborate with your Clients on the content.<\/p>\n

TIP:<\/strong>\u00a0When a logged-in user (external or internal) is making edits to a Workspace Page, that Page will be locked, and not available for editing by any other user. The page will be available again for editing only after the Page is saved, a Revision Note has been made and the Page is closed.<\/p>\n

IMPORTANT:\u00a0<\/strong>The menu for\u00a0MANAGING\u00a0<\/strong>Workspace\u00a0page and the menu for\u00a0VIEWING\u00a0<\/strong>Workspace\u00a0Pages are separate. The\u00a0Workspaces\u00a0menu that lets you VIEW is\u00a0AUTO-GENERATED<\/strong>\u00a0and\u00a0AUTO-ORGANIZED<\/strong>\u00a0based on the settings the Admin configures on the Admin side. If a Client or Staff member does not have a\u00a0Workspace\u00a0Page assigned, then they\u00a0WILL NOT<\/strong>\u00a0see the\u00a0Workspaces\u00a0menu in their navigation.<\/p>\n

Revisions List<\/strong><\/p>\n

When you access the Workspace, you’ll see the first section is a list of the revisions that have been made previously.<\/p>\n

Editing Workspace Pages<\/strong><\/p>\n

Editing the Workspace Pages is just the same as editing any other content using the WYSIWYG editor. The biggest difference is that below the editor, you’ll see that a Revision Note is required before saving your edits.<\/p>\n

Reverting to a Previous Revision<\/strong><\/p>\n

If you find in the collaboration process that you want to revert to an earlier version, you can simply use the Options menu for that version and select\u00a0Revert to this version<\/em><\/strong>.<\/p>\n
