What is an On-Demand Invoice Generator?<\/strong><\/p>\n

An\u00a0On-Demand\u00a0Invoice Generator\u00a0<\/strong>creates Invoices on demand. You can create & configure many different\u00a0O-D Invoice Generators<\/strong>, each one designed to be used in a specific scenario. You pre-define the line items, the amounts, the payment options, payment gateways, etc., and all it needs after it has been activated is to be triggered and told which Client (the target) should be assigned to the generated Invoice.\u00a0You can trigger the\u00a0O-D Invoice Generator\u00a0<\/strong>via a Kickoff Form, an Automation, or manually with just a few clicks.<\/p>\n

You can also create a\u00a0Recurring Generator<\/strong>\u00a0that will continually generate an Invoice or an\u00a0Accumulating Generator<\/strong>\u00a0which acts as a “running tab” for your Client with varying amounts with each generation.<\/p>\n

How do I create an Invoice Generator?<\/strong><\/p>\n

Navigate to\u00a0Office > Invoices<\/strong>.<\/p>\n

Hover your cursor over\u00a0Generators<\/strong>\u00a0in the top navigation menu bar and select\u00a0On-Demand<\/strong>.<\/p>\n

Then click the\u00a0+Add On-Demand Generator<\/strong>\u00a0button.<\/p>\n

Creating an Invoice Generator is very much like creating an\u00a0Invoice<\/strong>\u00a0but with a few key differences.<\/p>\n

The\u00a0Title\u00a0<\/strong>field gives you the option to use\u00a0Placeholders<\/strong>\u00a0so that you can dynamically create a unique Invoice Title.<\/p>\n

Available Placeholders:<\/strong>\u00a0[client-first-name]\u00a0 [client-last-name]\u00a0 [current-year]\u00a0 [current-month]\u00a0 \u00a0[current-day]<\/em><\/p>\n

Dynamic Items:\u00a0<\/strong>While the Item dropdown remains the same as a typical Invoice, On-Demand Invoice Generators have a special Item function when you add a new Item while creating the Generator.<\/p>\n

The\u00a0Make Dynamic\u00a0<\/em>toggle allows you to adjust the Quantity, Rate, Discount, Title, and Description while applying this Generator in an Automation.<\/p>\n

Make Dynamic:\u00a0<\/strong>As described above. When toggled it unlocks Dynamic Items.<\/p>\n

Friendly Title:\u00a0<\/strong>The name of the Dynamic Item.<\/p>\n

Item Title:\u00a0<\/strong>The name of the actual item you are charging for.<\/p>\n

Description:\u00a0<\/strong>This field is not required but can be used to give more details about the item.<\/p>\n

Rate:\u00a0<\/strong>The cost of the item.<\/p>\n

Quantity:\u00a0<\/strong>The amount of the item.<\/p>\n

Discount Value:\u00a0<\/strong>This field is not required but allows you to select an amount that will be automatically subtracted from the total value of the Item. You can enter a value that is either an amount or a percentage.<\/p>\n

If you would like this item to be taxed you can check off the box labeled\u00a0Is Taxable<\/em>.<\/p>\n

You also have the option to\u00a0Save the Item for Later\u00a0<\/em>which will add it to your list of Items.<\/p>\n

*Dynamic Items are only available on the Pinnacle Plan level<\/strong><\/p>\n

Generator Settings:<\/strong>\u00a0Choose from the dropdown menu how the Invoice will be generated when the Generator is triggered. You can choose Open (will immediately be assigned to the Client) or Draft Status.<\/p>\n

Publish Settings:<\/strong>\u00a0Set a Relative Due Date for the Invoice to be paid which will be determined based on the date it is generated.<\/p>\n

Once you are finished creating your Invoice Generator you can either\u00a0Save as Open<\/strong>\u00a0or\u00a0Save as Draft<\/strong>.<\/p>\n

Open:<\/strong>\u00a0The Invoice Generator will be active and will generate Invoices as configured.<\/p>\n

Draft:<\/strong>\u00a0It will save the creation process for you to complete later and will not generate Invoices.<\/p>\n

How can I assign an Invoice Generator?<\/strong><\/p>\n

For a new Client, you can assign an Invoice Generator while manually adding a Client into the platform or via Kickoff Form.<\/p>\n

For an existing Client, you can assign an Invoice Generator through the CRM list.<\/p>\n

MANUALLY ADD CONTACT<\/em><\/strong><\/p>\n

Navigate to\u00a0CRM > Contacts<\/strong>\u00a0and click the\u00a0+Add Contact<\/strong>\u00a0button.<\/p>\n

If you choose an\u00a0On-Demand Invoice Generator that has Dynamic Items<\/strong>,\u00a0it is at this stage that you will be prompted to add how you would like the Dynamic Items to work.<\/p>\n

In this example we have added the Custom Field ‘Number of employees’.\u00a0 Whatever number is added to this Form Field by the target will become the Quantity on the invoice.<\/p>\n

If you would like to apply an Invoice Generator to an existing Client navigate to\u00a0CRM > Contacts<\/strong>.<\/p>\n
