CSV stands for &#8220;Comma Separated Values&#8221; and it&#8217;s a very common method for importing\/exporting data. It can be easily viewed as a standard spreadsheet. A CSV can be easily created using Microsoft Excel or Google Sheets as they both have built-in methods to export a CSV.<\/p>\n<p>Before you&#8217;re ready to import your Contacts\/Companies, you will need to do some thinking about how your data will be configured. Will you be using\u00a0<strong>Custom Fields<\/strong>?<\/p>\n<p><a href=\"https:\/\/help.suitedash.com\/article\/248-custom-fields\">CLICK HERE<\/a><em>\u00a0to learn about Custom Fields<\/em><\/p>\n<p><strong><em>CONTACT IMPORT<\/em><\/strong><\/p>\n<p>Currently, you can import the following:<\/p>\n<ul>\n<li>First Name<\/li>\n<li>Middle Name<\/li>\n<li>Last Name<\/li>\n<li>Primary Email<\/li>\n<li>Individual Address Items<\/li>\n<li>All default extra information fields (Work Email, Home Email, etc.)<\/li>\n<li>Tags<\/li>\n<li>Contact Custom Fields<\/li>\n<li>Company Custom Fields (Private and Public)<\/li>\n<\/ul>\n<p><strong>Then you can assign the following to each individual Contact:<\/strong><\/p>\n<ul>\n<li>Role (Please note the Role you choose will affect which of the following actions are available)<\/li>\n<li>Company<\/li>\n<li>Company Category<\/li>\n<li>Primary Contact status (if applicable)<\/li>\n<li>Circle(s)<\/li>\n<li>Email Marketing Audience<\/li>\n<li>Event Generators<\/li>\n<li>On-Demand FLOW<\/li>\n<li>On-Demand Invoice Generator<\/li>\n<li>Accumulating Generator<\/li>\n<li>Recurring Generator<\/li>\n<li>Proposal Generator<\/li>\n<li>On-boarding FLOW<\/li>\n<li>Email\/Form Cannons (if you have the\u00a0<a href=\"https:\/\/help.suitedash.com\/article\/475-power-ups\" target=\"_blank\" rel=\"noopener\">PLUS Bundle Power-Up<\/a>)<\/li>\n<\/ul>\n<p>TIP: You&#8217;ll need to have everything in order before Importing. When you&#8217;re viewing the CSV in a spreadsheet viewer (Microsoft Excel, Google Sheets, Open Office, etc.), each row of the CSV (except Row 1) will be a Contact to be imported, and each column will be a data point associated with that Contact.<\/p>\n<p><a href=\"https:\/\/s3.amazonaws.com\/helpscout.net\/docs\/assets\/5c7ef84204286350d088abbb\/attachments\/5e5ad25d2c7d3a7e9ae87beb\/sample-csv.csv\">DOWNLOAD: Sample CSV Import File<\/a><\/p>\n<p>IMPORTANT: Currently only CSV files in encoded in UTF-8 are supported. You can convert your CSV to UTF-8 through your choice of spreadsheet viewer.<\/p>\n<p>Row 1 will serve as the\u00a0<strong>Column Header<\/strong>\u00a0where you will put the label for the data contained in that column. The values in Row 1 are not imported. Row 1 is used exclusively for identifying and mapping the columns.<\/p>\n<p><strong><em>HOW IS A ROLES ASSIGNED?<\/em><\/strong><\/p>\n<p>You have two options on how you will assign the Role to each of your imported\u00a0<strong>Contacts<\/strong>.<\/p>\n<p><em>Option 1<\/em><\/p>\n<p>You can assign every imported Contact a specific role by choosing\u00a0<strong>Lead<\/strong>,\u00a0<strong>Prospect\u00a0<\/strong>or\u00a0<strong>Client\u00a0<\/strong>from the first set of values in the\u00a0<strong>Role\u00a0<\/strong>selector.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" width=\"595\" height=\"330\" class=\"wp-image-630\" src=\"https:\/\/sallythings.co.za\/help\/wp-content\/uploads\/2023\/08\/https-d33v4339jhl8k0-cloudfront-net-docs-assets-1-400.png\" alt=\"https:\/\/d33v4339jhl8k0.cloudfront.net\/docs\/assets\/5c7ef84204286350d088abbb\/images\/606489698af76a714bfd29a7\/file-jDhJ9557Br.png\" srcset=\"https:\/\/sallythings.co.za\/help\/wp-content\/uploads\/2023\/08\/https-d33v4339jhl8k0-cloudfront-net-docs-assets-1-400.png 595w, https:\/\/sallythings.co.za\/help\/wp-content\/uploads\/2023\/08\/https-d33v4339jhl8k0-cloudfront-net-docs-assets-1-400-300x166.png 300w\" sizes=\"auto, (max-width: 595px) 100vw, 595px\" \/><\/p>\n<p>In the example above, every Contact imported during this operation would be imported as a Lead, regardless of how the CSV is configured.<\/p>\n<p><em>Option 2\u00a0<\/em><\/p>\n<p>Or, you can include a\u00a0<strong>Role\u00a0<\/strong>column in your CSV and select that column using the\u00a0<strong>Role\u00a0<\/strong>selector. If the row is read as no, then nothing will be set. If the row is empty, then nothing will be set.<\/p>\n<p><strong>How do I Import Custom Fields with my Contacts or Companies?<\/strong><\/p>\n<p>If you will be using\u00a0<strong>Custom Fields\u00a0<\/strong>with your Contacts, ensure that those Custom Fields have already been created in the platform before Importing. This is\u00a0<strong>not\u00a0<\/strong>case-sensitive.<\/li>\n<li><strong>Datefield Type:<\/strong>\u00a0Once you select your date format, you will need to make sure they all follow that same format.<\/li>\n<li><strong>Radio Single Selection with multiselection disabled:<\/strong>\u00a0The value from the uploaded file column should match with one of the options added to the custom field. This is\u00a0<strong>not<\/strong>\u00a0case-sensitive.<\/li>\n<li><strong>Radio with\u00a0Multiple Selections enabled:<\/strong>\u00a0If the value from the uploaded file column contains a comma (delimiter) then the value will be split into multiple values, and each value will be validated if it matches one of the options of the custom field. All values which match will be added to the contact custom field. The delimiter: \u201c,\u201d (comma). For example: apple,pear,plum.<\/li>\n<li><strong>Dropdown Type with multiselection disabled:<\/strong>\u00a0The value from the uploaded file column should match with one of the options added to the custom field. This is\u00a0<strong>not<\/strong>\u00a0case-sensitive.<\/li>\n<li><strong>Dropdown Type with multiselection enabled:<\/strong>\u00a0\u00a0If the value from the uploaded file column contains a comma (delimiter), then the value will be split into multiple values, and each value will be validated if it matches one of the options of the custom field. If left\u00a0unchecked, then they will all be given a &#8220;Not Invited&#8221; status, which means they will not receive this email until it is manually triggered by you.<\/p>\n<p><strong>Update existing Contacts:<\/strong>\u00a0If checked, any rows in the CSV that match with existing Contacts in your CRM (by having the same email address) will automatically be marked as &#8220;existing&#8221;, and they will not be imported as new Contacts. Instead, the existing Contact&#8217;s data will be overwritten by the data provided from the CSV file.<\/p>\n<p>This feature is useful if you would like to like to update your existing Contacts&#8217; data in bulk, rather than having to update each one individually.<\/p>\n<p>IMPORTANT:\u00a0If you are Updating existing\u00a0Contacts\u00a0and you leave a field blank for a data point where existing data was present, that existing data will be overwritten and the existing data will be lost.<\/p>\n<p><strong>Coordinator:<\/strong>\u00a0By default, the user Importing the Contacts will automatically be assigned as the Coordinator for all Imported Contacts. You can choose a different user from the dropdown menu instead.<\/p>\n<p><strong>Tips for Importing<\/strong><\/p>\n<p>Here are a few things to understand as you prepare for your import.<\/p>\n<p><strong><em>ASSIGNING BY ID NUMBER<\/em><\/strong><\/p>\n<p>If you are assigning Contacts to\u00a0<strong>Event Generators\u00a0<\/strong>or\u00a0<strong>Email Marketing Audiences\u00a0<\/strong>during import, you should use the numerical &#8220;ID&#8221; of these items in your CSV file. The ID numbers of Event Generators and Email Marketing Audiences can easily be found in the &#8220;ID&#8221; column of the tables in\u00a0<strong>CRM &gt; Events &gt; Event Generators<\/strong>\u00a0and\u00a0<strong>Marketing &gt; Audiences\u00a0<\/strong>respectively. You will need to enter only the numerical ID of the desired Generator and\/or List in your CSV, not the Name. Please see the example CSV attached to this post for an example.<\/p>\n<p><strong><em>IMPORTING VERY LARGE DATA SETS<\/em><\/strong><\/p>\n<p>Smaller CSV files will be automatically imported and you will see a success message. However, if the file is larger, you will see a message stating that the Import has been queued, and it will take a few minutes to be Imported.<\/p>\n<p><strong><em>TESTING YOUR CSV IMPORT<\/em><\/strong><\/p>\n<p>There is no UNDO mechanism for importing, so it&#8217;s a good practice to test with only one or two rows of data before making the full Import.
